We would like to inform you that a new feature has been released recently regarding Hotel Modification Request.

The customer can now request a name change online through Entrada Booking Engine. The affiliate must manage the request with the appropriate supplier offline and then update the system by adding an offline modification. Here is how this process works step-by-step:

Step 1: Customer requests a name modification. They access their hotel reservation in EBE and select Request Name Modification.

Attention: Modifications to Confirmed bookings are permitted, however the request date must be at least seven days prior to the check-in date.

Step 2: The system will display a list with existing first and last names that can be altered if necessary, plus an extra field for comments and special requests.

Step 3 : Send Request

In the event that an issue arises, an error message will be displayed; otherwise, when a request is sent, a corresponding message will be exhibited

The booking status will be changed to “Modification Pending (Confirmed)”, and the original status will be shown in parentheses.

Step 4 : Parent Affiliate

The Hotel Modification Request email will be sent to Parent Affiliate in order for them to initiate the necessary modifications (highlighted in red).

Parent Affiliate will also receive a notification in Entrada Administration panel:

It is possible to retrieve the booking via Search Reservations panel by selecting the new Status option.

In case the Affiliate is a Source Seller or First Level Affiliate the following options will be displayed:

If no modifications can be made, select ‘Reject’, and the Sub affiliate will be notified via an email saying ‘Rejected modification request for reservation CONFAHD20221216103310077’.

If changes can be made, fill out the Offline Modification form with the updated names, click ‘Modify’ to confirm and finalize the amendment, and an email will automatically be sent to the Sub affiliate saying ‘Confirmed modification request for reservation CONFAHD20221216103310077’.

If the Affiliate is not a Source Seller or First Level Affiliate, they will be shown these options:

The Affiliate must reach out to the parent Affiliate in person to request a name change. Upon completion of the amendment, they should confirm it, sending an email as confirmation to the Sub affiliate (Confirmed modification request for reservation CONFAHD20221216103310077). If the amendment cannot be done, then the Affiliate should reject it and a notification email will be sent notifying the Sub affiliate (Rejected modification request for reservation CONFAHD20221216103310077).
